Grade Changes and Mainframe Integration

There are two daily integrations to keep Student registration and grade data in sync between the Mainframe and Vergil.

Registration transactions starting with Summer 2025 are all initiated in Vergil. This includes new and dropped registrations, credit changes, and grading option changes (P/D/F election). This data is sent from Vergil to the Mainframe every night around 10:00 p.m.

Grading data originates in SIS mainframe. New grades and grade changes are sent from the Mainframe to Vergil every morning, before 9:00 a.m.

When multiple changes are made on a single registration record on the same day, data collisions can occur. In order to avoid this, follow the order of operations as outlined below when making a change to any course that has already been graded.

Assign or Modify a Grade on an Existing Course Record
(including uncovering ‘P’ grades): Assign or change the grade in the Mainframe

Do not make any other changes/updates to the registration record in Vergil on the same day as the grade assignment is done on the Mainframe.; Vergil will receive the grade update from the MF-Vergil feed and the grade will be reflected on the student's registration record in Vergil
Create a new Course Record and Assign a Grade: Add the class to the student’s record in Vergil

The new class record will be sent to the Mainframe overnight; Assign the grade to the class in the Mainframe; Vergil will receive the grade update from the MF-Vergil feed and the new grade will be reflected on the student's registration record in Vergil
Change Credits on a Graded Course (using Modify): Update the Credits in Vergil

The class record will be updated in the Mainframe overnight. Do not make any changes to the Grade in the Mainframe.
Change Credits on a Graded Course (using Modify)

AND

Modify the Grade on the same Course: Update the Credits in Vergil

The class record will be updated in the Mainframe overnight. Wait until the credits are updated in the Mainframe to edit the grade.; Modify the grade in the Mainframe; Vergil will receive the grade update from the MF-Vergil feed and the new grade will be reflected on the student's registration record in Vergil
Change Credits on a Graded Course (using Drop/Add): Remove the assigned grade in the Mainframe

Drop the class in Vergil

Add the class in Vergil; Reassign the grade to the class in the Mainframe; Vergil will receive the grade update from the MF-Vergil feed and the new grade will be reflected on the student's registration record in Vergil
Drop a Course Registration with a Grade Assigned: Remove the grade in the Mainframe

Drop the class in Vergil

By the time the Mainframe receives the drop from the Vergil-MF nightly feed, the grade will already have been removed and the drop can be processed
Change the Grading Option on an Ungraded Course: Update the Grading Option in Vergil

The P/D/F election / unelection will be sent to the Mainframe overnight.
