Registration Adjustment Workflow consists of both student-initiated registration requests and administrative petitions. Requests are guided by dates set in the Academic Calendar Dates. Schools submit these dates to the Office of the University Registrar prior to each term.
The table below outlines the Academic Calendar Date fields required to support Registration Adjustment Workflow processes, their impact, along with an example timeline for reference. Student registration options follow the dates set for each Course subterm and they may have different options depending on the timing of the Course.

DATA FIELD- Last Day to Change Credit Election (for variable credit courses)
- DEFINITION
- This is last day a student can modify their credit value for a variable credit course without going through workflow. After this date, if workflow is active/allowed, students may submit a request to modify credit election for a course.
If this date is populated in the Academic Calendar,
- a Credit Change Workflow request will be triggered after this date
- Workflow Approvers must be set for this workflow type in order for students to put in a credit change request after this date.
Note: this should be the day before the Day the Add Workflow Starts, or if workflow is not being used, the same day as the Last Day to Add. - Fall 2026 - EXAMPLE 1

DATA FIELD- Last Day to Receive a Tuition Refund for Class Dropped (Optional)
- DEFINITION
- After this day, students (and workflow approvers) will see a note that it is past the last day for students to receive a tuition refund for a course. If this date is left blank, the message will not appear.
If this date is populated in the Academic Calendar,
- a Drop Workflow request will be triggered after this date (even it is before the Day Drop Request Workflow Starts)
- Workflow Approvers must be set for this workflow type in order for students to put in a drop request after this date.
Final Approvers at a student’s school can make the final determination whether to issue a D* (no charge) or DR (full tuition retained) for any drop requests. - Fall 2026 - EXAMPLE 1

DATA FIELD- First Day that Wait Lists will be Inactive
- DEFINITION
- This is a Schedule-level field. The date refers to the first day Wait Lists for your School’s courses in a subterm will be inactive.
Starting this day, students will no longer be able to join Wait Lists. Students already on Wait Lists will be preserved, but can no longer be added to the course roster from the Wait List.
Note: The Wait Lists deactivation date should be the same date as the Add Workflow Start Date if using the add/drop workflow. This should be the day after the Last Day to Add if workflow is not going to be used. Wait Lists should only be deactivated before these dates if there is a period with no online registration, such as a weekend. - Fall 2026 - EXAMPLE 1

- DEFINITION
- This is the first day that students will be required to get approval to add and/or adjust courses in a subterm.The add workflow typically starts right after the Change of Program period for full semester subterms.

- DEFINITION
- This is the first day that students will be required to get approval to drop courses in a subterm. The drop workflow typically starts right after the Change of Program period for full semester Subterms.
Note: the Drop Workflow can start earlier or later than the Add Workflow - Fall 2026 - EXAMPLE 1

- DEFINITION
- After this day, students (and workflow approvers) will see a note that it is past the last day for students to drop a course and not be assigned a W grade. If this date is left blank, the message will not appear.
If this date is populated in the Academic Calendar,
- a Drop Workflow request will be triggered after this date (even it is before the Day Drop Request Workflow Starts)
- Workflow Approvers must be set for this workflow type in order for students to put in a drop request after this date.
Final Approvers at a student’s school can make the final determination whether to drop the course officially (without a W grade), or they can Deny the request and email [email protected] to add a W grade. - Fall 2026 - EXAMPLE 1

- DEFINITION
- This is the last day that students can initiate any adding / adjusting of courses in a subterm, even through workflow requests.

DATA FIELD- Day Appeal Workflow Starts
- DEFINITION
- This is a Semester Schedule-level field. This date refers to the default first day that departments within your School may allow students to request an appeal to register into individual course sections.
Note: An appeal is necessary when a student has not satisfied class rules and/or prerequisites. This can start any time during open registration and is adjustable at the class-level. This date does not impact your student Add/Drop workflow dates. - Fall 2026 - EXAMPLE 1

- DEFINITION
- This is the final day a student can modify their Grading Option for a course on their Schedule from standard to Pass/D/Fail or the reverse.
