Class Scheduling
Below is information specific to Schools that use Registrar-controlled classrooms.
Classroom Optimization
4 weeks before registration begins: All days, times, and sequestered space should be assigned in Course Management. Departments that have priority claim to certain Registrar-controlled classrooms, should send these preferred classroom assignments to: [email protected]. If you require specific accessibility infrastructure or course-related technology, please send this information to: [email protected].
3 weeks before registration begins: Meeting patterns (days/times) and the Cloning feature will be locked in Course Management.
1 week before registration begins: Meeting patterns (days/times) will be unlocked and available for edits.
Our classroom optimization platform requires fixed data, so we can’t modify any scheduling information until optimization is complete.
- Cloning a Semester Schedule is unavailable during classroom optimization, regardless of term. Cloning should be complete before optimization begins
- During optimization, new sections can be added and activated on the Semester Schedule for registration, but meeting days and times will have to be put in the Notes field until optimization is complete.

Changes to Day/Time: Changing the day or time in Course Management after a classroom has been reserved will result in the loss of the room. We may not be able to accommodate scheduling changes without consultation with the departments making these changes. Please write to [email protected] if you seek to raise caps of classes that already have a room assigned to them.
Changes to Class Capacity: Capacity changes should take into account the room currently assigned. Room capacity can be found in your Semester Schedule section details.
Room info in Directory and Vergil: The Registrar’s team usually needs at least a month to complete all classroom assignments and prepare them for publication, including finding sequestered and leased classrooms, where necessary; transacting needed classroom changes based on shifting enrollments; and accommodating Faculty preferences, where appropriate. Classroom assignments are tentative until published in the Directory and Vergil.
Pending Course Approval and New Classes: We do understand that some new courses may still be under review when classroom optimization begins. This said, mounting courses after optimization may result in suboptimal classroom placements and may require adjusting meeting days and times or changing course caps.
